How to Store Inks, Films, and Papers in a Small Print Shop

A single made-up storage number should not govern inks, films, and papers. A single stock-flow system works for a small print shop: every SKU has current limits from its label and TDS/SDS, its own lot and status; sealed stock is separated from opened material, and any unknown history or excursion beyond permitted conditions sends the item to quarantine until a decision is made.

Create a card with current conditions for each SKU, not one warehouse rule

The product card should point to the exact trade name, item code, manufacturer, technology, packaging type, and current TDS revision. For inks and auxiliary chemicals, add the SDS: the relevant limits are found in its handling, storage, incompatible-material, and stability sections. The label on the specific container remains part of the source.

Copy only requirements that actually exist: the permitted storage range, protection from light or moisture, container orientation, incompatibilities, use-by limit or date, conditions after opening, and acclimatisation procedure before work. If a field is absent, mark “supplier confirmation required” rather than transferring a value from a similar product.

Stop before placement

Do not put a container with no readable name, lot, date, or link to a current product card into working stock. Move it to quarantine and restore its identity from supplier documents, or do not use it.

Divide storage into receiving, sealed stock, opened buffer, and quarantine

Receiving. Reconcile the SKU, lot, quantity, integrity, dates, documents, and known delivery history. The material does not receive “approved” status until this check is complete.

Sealed stock. Factory packages stay in a permitted zone, protected from the influences named in their documentation; labels and the issue sequence are visible without rearranging the whole shelf.

Opened buffer. Store only the minimum working volume here, together with its opening date, new limits after opening, and the person responsible for resealing it properly.

Quarantine. A physically marked area for damaged, expired, unidentified, or suspect materials. Nothing leaves this area without a recorded decision.

A shared zone is valid only where the limits of all its products overlap

For each zone, list the SKUs and overlay their documented ranges and requirements. The zone’s working window is the intersection, not an average. If there is no common window, or one product needs separate protection from light, moisture, or incompatible chemicals, create another zone or cabinet.

Place the sensor where the stock is actually stored and keep a log of real conditions and excursions. One reading near the door does not describe the top shelf, an outside wall, or a closed cabinet. Take the limits and required monitoring frequency from the strictest current requirement among the SKUs in that zone.

Preserve lot, opening, issue order, and status on every package

An internal label must not cover the factory label. Add the item code, lot, receipt date, manufacturer date or time limit, opening date, zone, status, responsible person, and link to the product card. When a roll or pack is split, transfer these fields to every remainder so the material does not become anonymous.

FEFO

If the manufacturer provides an expiry date or another time limit, issue first the lot whose permitted date arrives sooner.

FIFO

When time limits are identical or unspecified, issue the earliest received usable lot first. Open material does not automatically move ahead of FEFO: its own post-opening limits still apply.

Check observable signs every week, not just tidiness on the shelves

Conditions: the log has no gaps, readings stay within card limits, and every excursion has a time, affected lots, and a decision.

Identity: factory and internal labels are readable, split remainders have not lost their SKU and lot, and no unknown package remains.

Integrity: containers are closed by the permitted method, packs and rolls are protected, and there are no leaks, condensation, deformation, contamination, or damaged edges.

Sequence: the nearest dates are visible, opened remainders have been reviewed, and FEFO/FIFO is not blocked by newer boxes placed in front.

Quarantine: every item has a reason, decision owner, and next action; it cannot be taken into production by accident.

Issue a specific lot to production, and stop only the affected stock after an excursion

In the issue record, enter the job, SKU, lot, quantity, date, and operator. Before opening, inspect the package and perform any required acclimatisation or preparation only according to the current product and equipment instructions. After work, return the remainder to its defined zone, update the quantity, and reseal it by the permitted method.

If the log shows an excursion, storage duration is unknown, or there is damage, condensation, sediment, or another unusual sign, do not discard the entire warehouse and do not run the material “as a trial” on a customer job. Isolate the specific lots, preserve the facts of the excursion, and obtain a supplier decision or conduct a separate qualification if the documentation permits it.
